Cashier setup
Setup is done once by the system manager under Point of Sale → Cashier setup. After that, staff work on the cashier with their PINs only.
Before you start
Make sure you have:
- Items and prices: the cashier shows items that have a price in the price list. See Items & prices. Add an image to each item so it shows on the selling screen.
- Item groups: shown on the cashier as categories (hot drinks, desserts…) and used to route orders to kitchen sections.
- Modes of payment: one for cash and one for card, each linked to its account (cash box, bank). Find them under Accounting → Setup → Modes of Payment.

- POS devices & branches
Each cashier device is a "point of sale". Create one per device:
| Field | Meaning |
|---|---|
| POS name | e.g. Cashier 1 |
| Branch | e.g. Jazan branch. Points of sale with the same branch name are grouped under it |
| Warehouse | Sales quantities are deducted from it |
| Price list | Prices this device sells at |
| Show price-list items only | If on, the cashier shows only items with a price in this list. Useful with several businesses on one system |
| Default (walk-in) customer | Sales are recorded to this customer if none is chosen |
| Send orders to kitchen display | Turn on for restaurants and cafés |
| Use tables | Turn on if you have dine-in seating |
| Order types | One per line, e.g. Dine-in, Takeaway, Delivery |
| Cash / card mode of payment | Where collections are recorded |
| Card terminal link | NearPay, or empty if you record card payments manually |
| Receipt print format | Leave empty to use the default invoice format (the e-invoicing format if present) |
| Print receipt automatically after payment | Prints right after payment, no button needed |
| Receipt footer text | e.g. Thank you for visiting |
2. Employees and PINs
- Point of Sale
- Cashier setup
- Employees & PINs
- Add an employee by name and choose a role: Cashier, Waiter or Manager.
- Enter a 4-digit PIN. Don't reuse a PIN between employees.
- Leave Allowed branches empty for all branches, or enter one branch name per line.
- Save. To stop someone who left, untick Active.
Every order and payment is recorded under the employee who entered their PIN, so you know who sold what.
3. Tables
- Point of Sale
- Cashier setup
- Tables
For each table: number or name, area (hall, family, outdoor), branch, number of seats, and sort order.
4. Item modifiers
- Point of Sale
- Cashier setup
- Item modifiers
A modifier group is a question shown to the cashier when picking an item, like "Size" or "Milk":
- Enter the group name, e.g. Size.
- Add options and an extra price for each: Small (0), Medium (3), Large (5).
- Tick Required if the item can't be sold without it (like size).
- Tick Allow multiple choices for stackable add-ons (extra shot, cream).
- In Shows with enter an item code or item group name per line, e.g. Hot coffee.
5. Card terminal (NearPay)
You can link a card terminal, or an Android phone running the NearPay app, to a point of sale. The cashier then sends the amount to the device, the customer taps their card, and the payment is recorded automatically.
- In the point of sale choose Card terminal link: NearPay.
- Open the cashier, then Settings.
- In the NearPay app on the device open Settings → Remote link and copy the pairing code.
- Enter the code in the cashier and click Link device, then Test. The status shows Linked.
The card terminal needs an internet connection to work.
6. Printer
On the first print from the cashier, choose your receipt printer in the print dialog; the browser remembers it afterwards.
- Allow pop-ups for the site in your browser, or the print dialog won't appear.
- The cash drawer opens automatically with the receipt if it's connected to the receipt printer.
Tax on the cashier
The cashier follows the company's default sales tax template. If your prices include VAT (usual for restaurants and shops), make sure the template is set to "included in price". See VAT. The cashier settings show the mode: Inclusive, Added or No tax.
