or Receipt and Payment on the dashboard

A voucher records actual cash movement: money into your cash box or bank, or out of it.

TypeWhen
Receipt (Receive)Collecting from a customer
Payment (Pay)Paying a supplier, or refunding a customer
Internal transferMoving money from cash to bank, or between bank accounts

Receipt from a customer

  1. Click Receipt.
  2. Choose the customer.
  3. Choose the mode of payment (cash, bank transfer, card…) and the account the money went into.
  4. Enter the amount received.
  5. In References the customer's open invoices appear. Allocate the amount, or click Get Outstanding Invoices to allocate oldest first.
  6. For transfers and cheques, enter the reference number and date — this makes bank matching easier.
  7. Save and submit.

Result: the bank or cash balance goes up, the customer balance goes down, and invoices become Paid or Partly paid.

Advance payment

If you receive money before invoicing, record the receipt without linking it. It stays as an advance and can be linked to the invoice later via Payment Reconciliation.

Payment to a supplier

Same steps with Payment, choosing the supplier and their open invoices.

Expenses and advances

From New, under Cash & bank:

  • Expense — a petty expense paid directly without a supplier invoice.
  • Employee advance — an advance paid to an employee, to be repaid or settled later.

  3. Payment Reconciliation

If vouchers or credit notes were recorded without linking to invoices, use this tool: choose the customer or supplier, Get Unreconciled Entries, and link each payment to its invoice. Statements and ageing become accurate.

Printing and sharing

Print the voucher with the company signature and stamp, or share it with the customer on WhatsApp via a secure link, from the buttons at the top.

Instead of waiting for a transfer, send the customer a link to pay the invoice with mada, Apple Pay or card, or in instalments with Tabby and Tamara:

  1. Enable payments once from Integrations → Online payments & instalments (Moyasar, Tabby, Tamara): your company's Moyasar keys and the account payments are recorded to.
  2. A payment link appears on every submitted invoice; send it with Share on WhatsApp or copy it.
  3. When paid, the payment entry is created automatically and linked to the invoice, the invoice becomes paid, and you're notified.

One screen with every overdue invoice grouped by customer and days overdue, and a WhatsApp or email reminder button per customer with the payment link. To put a customer's balance on instalments see Invoice instalments.

Transfers between cash and bank

Depositing cash into the bank: a payment of type Internal transfer, from cash to bank, with the amount and deposit slip number. No effect on profit.

Payments in a foreign currency

If the customer or supplier deals in another currency (USD, say), the exchange rate shows on the payment. The difference between the invoice rate and the payment rate is posted automatically to exchange gain/loss.

Common mistakes

  • A payment not linked to an invoice: the customer's balance is right, but the invoice shows unpaid in reports. Link it from Payment reconciliation.
  • Wrong account: if you recorded a bank transfer to cash, cancel and recreate the payment, or fix it with an internal transfer.
  • A supplier payment for an expense with no supplier: for petty expenses use New → Expense instead of a party-less payment, so it lands in the right expense account.
