Sales invoices

In Rowdx
  1. Sales
  2. Invoices

or New invoice on the dashboard

The sales invoice is the document you'll use most. When submitted, Rowdx automatically records the revenue, VAT and customer receivable, and deducts stock for stock items.

Creating an invoice

  1. Click New invoice.
  2. Choose the customer. New customer? Add them from the same field.
  3. Check the posting date and due date (for credit sales).
  4. Add items: item, quantity; the rate comes from the price list and can be edited.
  5. Review Taxes: the 15% VAT template is added automatically. See VAT.
  6. Add a discount if any, per item or on the invoice total.
  7. Save (it stays a draft), then Submit.

After submitting

A submitted invoice can't be edited. Cancel it and use Amend to create a corrected copy, or issue a credit note if it was already sent to the customer or ZATCA.

Cash and credit sales

  • Credit: submit the invoice, and when paid create a receipt linked to it.
  • Paid on the spot: tick Include Payment / Is Paid in the invoice and choose the payment method and amount; the invoice and payment are recorded together.

Invoice statuses

StatusMeaning
DraftNot submitted
UnpaidSubmitted, nothing collected
Partly paidPart collected
PaidFully collected
OverduePast due date and not collected
ReturnA credit note was issued against it

Overdue invoices appear on the dashboard under Overdue sales invoices and Needs your attention.

Printing and sharing

At the top of the invoice:

  • Print / PDF — the Rowdx tax invoice template with QR code, VAT number, company details, and signature and stamp if enabled.
  • Share on WhatsApp — sends the customer a secure link that opens the invoice and downloads it as PDF, no account needed. The customer's mobile is filled in if saved.
  • Download Excel.

The same buttons are on quotations, sales orders, delivery notes, purchase orders and vouchers.

From quotation to invoice

No re-typing: from a quotation create a sales order, then a delivery note and an invoice, using Create at the top of each document. Items and prices carry over. Details in Sales.

E-invoicing

If your system is connected to ZATCA, every invoice you submit is sent automatically, and you can follow its status in the integration log.
