Quotations & sales orders

Flow
  1. Quotation
  2. Sales order
  3. Delivery note
  4. Invoice

Each document is created from the previous one with the Create button at the top, so items, quantities and prices carry over and nothing is re-typed.

Quotation

In Rowdx
  1. Sales
  2. Quotations

or New → Quotation on the dashboard

  1. Click New.
  2. Choose the customer. You can also pick a lead who isn't a customer yet.
  3. Set Valid till, the offer's expiry date.
  4. Add items and quantities. Prices come from the price list and can be edited.
  5. Add terms and conditions if any. Save recurring text as a template in Sales → Setup → Terms and Conditions.
  6. Save and submit, then print it or share it on WhatsApp from the top of the document.

A quotation has no accounting or stock effect — it's a document for the customer only.

Following up on quotes

Quotations not turned into orders stay Open. Review them regularly and follow up, or set them to Lost with a reason so you learn why deals are lost.

Sales order

In Rowdx
  1. Sales
  2. Sales Orders

The sales order is your commitment once the customer agrees. Use it when you:

  • Need a binding delivery date to track.
  • Deliver in batches.
  • Want to reserve stock.
  • Need an advance payment before delivery.

From a quotation: open the submitted quotation → Create → Sales Order. Set a delivery date per item, then save and submit.

Advance payment

From the submitted order: Create → Payment, which creates a receipt linked to the order. When you invoice later, the advance is deducted automatically.

Delivery note

In Rowdx
  1. Sales
  2. Delivery Notes

Records goods leaving the warehouse to the customer and deducts them from stock.

  1. From the sales order: Create → Delivery Note.
  2. Adjust quantities for a partial delivery; the rest stays open on the order.
  3. Check the warehouse goods leave from.
  4. Save, submit, and print it for the recipient to sign.

Invoice

From the sales order or delivery note: Create → Sales Invoice. Details in Sales invoices.

Invoicing after a delivery note

If a delivery note came first, stock was already deducted there; the invoice created from it doesn't deduct it again.

Tracking orders

A sales order's status updates automatically: To Deliver and Bill → To Bill or To Deliver → Completed. Filter the list by status to see what's not delivered or billed.

The useful report here is Sales → Reports → Sales Order Analysis, showing late deliveries and remaining quantities.
