Fixed assets

included in the Business and Enterprise plans
Fixed assets are things the business buys to use for years, not to sell: vehicles, computers, furniture, equipment, shop fit-out. They aren't expensed at once; their cost is spread over their life through depreciation. Rowdx calculates depreciation and posts it monthly, automatically, and tracks where each asset is and its maintenance.

- Asset categories
Each kind of asset has a category that sets its depreciation and accounts:
- Category name: Vehicles, Computers, Furniture, Equipment.
- Depreciation method: straight line (most common) or written-down value.
- Total number of depreciations and frequency in months (1 for monthly). Example: computers over 4 years = 48 monthly depreciations.
- Accounts: fixed asset account, accumulated depreciation, and depreciation expense. Rowdx suggests them from the chart of accounts.
2. Buying the asset
- Buying
- Purchase invoices
- Create an item for the asset (e.g. "Laptop"), tick Is fixed asset and choose the asset category.
- Record the purchase invoice with this item as usual.
- On submit, a draft asset record is created for each unit.
3. Registering and submitting the asset

- Assets
Open the created asset (or create one manually for older assets):
- Location: where it is (branch, office).
- Custodian employee if it's in someone's custody.
- Purchase date and available-for-use date.
- Gross purchase amount.
- Calculate depreciation: tick it so the depreciation schedule is built from the category.
- Submit.
Assets from before Rowdx
For an asset bought before you started on Rowdx: tick Is existing asset and enter accumulated depreciation up to the start date and number of depreciations booked, so Rowdx continues from there.

- Depreciation schedules
Depreciation is posted automatically every month on its date (depreciation expense against accumulated depreciation). Nothing to do. Open any asset's schedule to see all future and posted depreciation.
Asset life events
| Event | Path | Effect |
|---|---|---|
| Move to another location or employee | Asset movement | Location and custodian update; history is kept |
| Periodic maintenance | Maintenance → Asset maintenance | Recurring tasks (monthly, yearly), a responsible team, and due-date reminders |
| Repair | Maintenance → Asset repair | Repair cost, which can be added to the asset's value if it extends its life |
| Revaluation | Maintenance → Asset value adjustment | Lower or raise the book value with an entry |
| Capitalization | Asset capitalization | Combine components (materials and services) into one asset, like fitting out a shop |
| Sale | From the asset: Sell asset | A sales invoice; gain or loss on sale is calculated |
| Scrap (damaged or lost) | From the asset: Scrap | The asset is written off and the remaining value is a loss |
