This module follows a customer before they buy: from the first call or enquiry, through follow-ups and offers, to the deal. Its purpose is that no prospect gets lost between staff, and that you know where your deals stall.
Flow
- Lead
- Opportunity
- Quotation
- Sales order or invoice
- Customer
Terms
| Term | Meaning | Example |
|---|---|---|
| Lead | A person or company that showed interest, not yet qualified | A call from an ad, a WhatsApp message, a trade-show visitor |
| Opportunity | Confirmed interest in buying something specific, with an expected value and stage | "Al Nada restaurant wants 3 cashier devices" |
| Prospect | A company you follow with several contacts and opportunities | A restaurant group with several branches |
| Sales stage | Where the opportunity is | First contact, quotation, negotiation |
| Source | Where the customer came from | Snapchat ad, referral, exhibition |
Adding a lead
In Rowdx
- CRM
- Leads
- Add
- Name, and company name if any.
- Mobile and email.
- Source, and campaign if they came from a marketing campaign.
- Lead owner: the employee who will follow up.
- Save.
At the top of the lead:
- Add a note or a follow-up task with a date: it appears in the owner's to-do list and in the bell on the due date.
- Create → Opportunity once interest is confirmed.
- Create → Customer if they buy straight away.
- Change the status: Open, Replied, Interested, Do not contact, Lost.
Opportunities
In Rowdx
- CRM
- Opportunities
- From: a lead or an existing customer.
- Opportunity type: Sales, Maintenance…
- Sales stage and probability.
- The items requested and their quantities (they carry over to the quotation).
- Expected amount and expected closing date.
View opportunities as a board: choose the Kanban view in the list and group it by Sales stage, then drag each card to its new stage.
On agreement: Create → Quotation, then a sales order or invoice as in Quotations & sales orders. On loss: Declare lost and pick the reason (price, competitor, timing) so reasons show in reports.
Appointments and communications
- Appointments: a meeting, visit or demo linked to a customer, shown in the calendar.
- Communications: every email sent or received from the system is kept here, linked to the customer or opportunity.
- Contracts: a contract with a customer with start and end dates and terms, with a reminder before it ends.
Campaigns
In Rowdx
- CRM
- Campaigns
- Campaigns: record each marketing campaign (ad, exhibition, seasonal offer) and link the leads it brings. The Campaign efficiency report compares leads and deals per campaign.
- Email campaigns: a scheduled series of emails to a mailing list.
- SMS center: bulk SMS to customers or contacts (requires an SMS provider in SMS settings).
Maintenance and after-sales
- Maintenance schedules: periodic visits to a customer (every 3 months, say) for equipment you sold them.
- Maintenance visits: a record of each visit and what was done.
- Warranty claims: a customer complaint about an item under warranty, linked to its serial number.
Territories and sales persons
In Rowdx
- CRM
- Setup
- Territories: geographic split (Riyadh, Jeddah…) for assigning customers and analysing sales.
- Sales persons: each rep, their manager and target. The sales person on the invoice gets the sales and commission credit.
- Sales stages and UTM sources: adjust them to match how you work.
Reports
| Report | Answers |
|---|---|
| Sales funnel | Out of 100 leads, how many became opportunities and how many bought |
| Sales pipeline analytics | Value of open opportunities at each stage |
| Opportunity summary by sales stage | Count and value of opportunities per stage and owner |
| Prospects engaged but not converted | Who needs extra follow-up |
| First response time for opportunity | Hours before the first contact |
| Lead owner efficiency | Leads and deals per employee |
| Campaign efficiency | Which campaign brought real customers |
Tips
- Give every lead an owner and a follow-up date. A lead without a date gets forgotten by everyone.
- Always record the lost reason; after two months you'll know why you lose deals.
- In the sales rep app, reps log their customer visits from the field, and these show in the customer's follow-up.
