included in the Business and Enterprise plans
For contractors, service firms, consultancies and anyone who works by project: a task plan with dates and owners, team hours on each project, and everything spent on and billed from the project, so you know the profit of each project, not just the company's.

Creating a project
- Projects
- Projects
- Add
- Project name, and the customer (if it's for a customer).
- Start date and expected end date.
- Estimated cost (budget).
- The linked sales order if the project was sold under contract, so invoices count against it.
- Cost center: a cost center per project makes every expense on it show in its reports. See Cost centers.
- % complete method: manual, by completed tasks, or by task weight.
- Save.
Project templates
If your projects are similar (installation, website design, periodic maintenance), create a project template with the usual tasks. When creating a new project, pick the template and its tasks are created with dates relative to the start date.
Tasks
- Projects
- Tasks, or inside the project: Add task
- Subject and project.
- Assigned to (gets a notification and sees it in their to-do list).
- Expected start and end date, and expected hours.
- Priority, and Depends on (a task that must finish first).
- For large tasks: tick Is group and add sub-tasks under it.
Views from the task list:
- Kanban: columns by status (Open, Working, Pending review, Completed); drag a card to change status.
- Gantt: the project timeline; drag a bar to change dates.
- Calendar: tasks by due date.
Timesheets
- Projects
- Timesheets
- Add
Each employee logs their hours on the project:
- Employee.
- In the table, per row: activity type (design, installation, meeting), project, task, from and to or the hours.
- Is billable: tick it if the customer pays by the hour, and enter the billing rate.
- Save and submit.
Activity cost (setup): the hourly cost of each activity type per employee, used to cost hours on the project.
Billing hours
From a submitted timesheet: Create → Sales invoice, or from the invoice: Fetch timesheets to pick unbilled project hours. The Timesheet billing summary report shows billed and unbilled hours.
What gets charged to the project
Set the project on any of these documents and its cost is counted:
| Document | Adds to the project |
|---|---|
| Purchase invoice | Materials and services bought for the project |
| Stock entry (material issue) | Materials issued from the warehouse to site |
| Expense claim | Employee expenses on the project |
| Timesheet | Cost of working hours |
| Sales invoice | Revenue from the project |
Following up
The project record shows automatically: % complete, actual vs estimated cost, total billed and gross margin, with all tasks and their status below.
Project updates: a periodic (daily or weekly) report from the team on progress, which can be scheduled by email.
