For businesses with delivery vehicles or reps in company cars: a record for each vehicle and driver, delivery trips to customers, and fuel and maintenance costs per car. It also has Shipments: an SMSA or Aramex waybill straight from the invoice.

Vehicles

1. License plate, make and model, year.
2. Fuel type and fuel UOM (litre).
3. The employee responsible (driver or rep).
4. The current odometer reading when you start.
5. Insurance and registration expiry dates, so you know what's about to expire.
6. Save.

Drivers

Link each driver to their HR record (if an employee), and enter the license number, class and expiry, plus address and mobile. Drivers are then chosen on delivery trips.

Vehicle logs: fuel, odometer and maintenance

Each refuel or service is a log:

1. Vehicle, date and current odometer.
2. For fuel: quantity, price per litre and supplier (station).
3. For service: add service items (oil change, tyres, brakes) from Vehicle service items with their cost.
4. Save and submit. The log can become an expense claim if the driver paid.

The Vehicle expenses report shows fuel and maintenance cost per car per month, and consumption from odometer readings, so you know which car costs you most.

Delivery trips

To route several customers' orders on one vehicle:

1. Choose the driver, vehicle and departure time.
2. Click Get stops and choose the delivery notes for this trip. Each customer address becomes a stop.
3. Order the stops along the route, or click Optimize route.
4. Submit, and print the trip sheet for the driver or send it to them.
5. After each delivery the driver updates the stop status (delivered, not delivered).

Stop time per customer and distance unit are set in Delivery settings.

Shipments (SMSA & Aramex)

For those who ship to customers via couriers instead of their own vehicles.

One-time setup

Integrations → Shipping (SMSA & Aramex): enter your SMSA or Aramex account details (from the courier's portal), the shipping expense account, and the estimated cost per shipment. You can test in the sandbox first.

Creating a waybill

1. From a submitted sales invoice: Create shipping waybill.
2. Recipient details are filled from the customer and their address (name, mobile, city, district, address). Review them.
3. Choose the courier, enter weight and number of parcels.
4. Cash on delivery is filled with the outstanding amount if the invoice is unpaid.
5. Create the waybill. The waybill number, its file for printing on the parcel, and the tracking link are saved.

The shipment cost is booked automatically: shipping expense against the courier's account, so it shows in the invoice's profit.
