Human Resources

included in the Business and Enterprise plans

Everything about the employee from hiring to end of service: their record, attendance and shifts, leave, expenses and advances, and performance reviews. It's tied directly to Payroll: absences and unpaid leave are deducted automatically in the payroll run.

Flow
  1. Recruitment
  2. Joining
  3. Attendance & leave
  4. Appraisal
  5. Exit

Before you start: one-time setup

In Rowdx
  1. Human Resources
  2. Setup
  1. Branches and Departments (Sales, Accounts, Warehouse).
  2. Designations (Accountant, Cashier, Sales rep).
  3. Holiday lists (Human Resources → Leave → Holiday lists): add a list for the year with the weekly off days (Friday, or Friday and Saturday) and public holidays (National Day, Founding Day, both Eids). Link it to the company on the company record so it applies to all employees.
  4. HR settings: employee naming, birthday reminders, and who approves leave.

Adding an employee

In Rowdx
  1. Human Resources
  2. Employees
  3. Add
  1. First name and last name, gender, date of birth.
  2. Date of joining: important for leave accrual and end-of-service benefits.
  3. Company, branch, department, designation.
  4. Reports to (the line manager who receives leave requests).
  5. ID / Iqama number (10 digits), and the Saudi national and Registered with GOSI ticks (below the employee name). They're used in the Mudad file and GOSI calculation. In the UAE: MOHRE person ID and employee bank routing code for the WPS file.
  6. In the Salary tab: payment mode (bank transfer), IBAN and bank name.
  7. User ID: link the employee to their system user if they log in to Rowdx, so they can see their leave and payslips and submit requests themselves.

Many employees

Use Import from the employee list with an Excel file instead of adding them one by one.

The Organizational chart (Human Resources → Organizational chart) draws the tree automatically from the Reports-to field.

Attendance and shifts

Shifts

  1. Shift types: one per working pattern (morning 8–4, evening 4–12) with start/end time and late-entry grace.
  2. Shift roster: a weekly screen where you assign each employee's shift by dragging, showing absences and leave.
  3. Shift requests: an employee asks to swap shifts; the manager approves.

Recording attendance

Three ways; pick what suits you:

MethodWhen
Employee attendance toolThe supervisor marks present and absent for the day on one screen. Simplest for small businesses
Employee check-insFrom a linked fingerprint device, or the employee's phone with location. Attendance is computed automatically from check-ins and the shift
Attendance manuallyA record per employee per day, for corrections

If an employee forgets to check in, they submit an attendance request with the reason, and the manager approves.

Overtime: define overtime types (hourly rate); overtime slips are created from extra hours and added to salary.

Leave

Setup

  1. Leave types: annual, sick, unpaid, emergency, maternity. For each: is it without pay (deducted from salary), is it carried forward, can it be encashed.
  2. Leave policies: a set of annual balances, e.g. "21 days annual + 30 sick".
  3. Leave policy assignment: apply the policy to employees so their balances are allocated automatically. Or use the Leave control panel to allocate a balance to a group at once.

Applying and approving

  1. The employee (or HR on their behalf): Leave applications → Add, type, dates and reason.
  2. The available balance shows before saving, and the system won't let it be exceeded.
  3. The request goes to the leave approver (line manager), who sets the status to Approved and submits.
  4. Approved leave shows in the shift roster, and the employee isn't counted absent on those days.

Leave block lists: dates when leave isn't allowed, such as peak seasons or month-end for Accounts.

Expenses and advances

  • Expense claims: the employee paid out of pocket (fuel, hospitality, transport). They submit the claim with a receipt photo, the manager approves, then it's paid by a payment entry or with salary.
  • Employee advances: money paid ahead to the employee. Recovered through salary via Additional salary (deduction), or settled against an expense claim.
  • Travel requests: a business trip request with estimated costs before travelling.
  • Vehicles and Vehicle logs: company cars, fuel and odometer records. Details in Fleet.

Recruitment

  1. Job openings: publish a vacancy; it appears on the jobs portal on your company site so people can apply.
  2. Job applicants: each applicant with their CV. View them in the Recruitment pipeline (Kanban) and drag them between stages.
  3. Interviews: schedule and interviewers; each interviewer records their rating.
  4. Job offers: from the accepted applicant, with salary and terms, printed and sent.
  5. After acceptance: Create → Employee to carry over their details, then Employee onboarding (a task list: contract, laptop, accounts, team intro).

Performance

  • Goals: per-employee goals with completion percentages.
  • Appraisal cycles: a review period (half-yearly, say), and appraisal templates with key result areas and criteria.
  • Appraisals: the manager rates each area, the employee self-rates, and the total is computed.
  • Promotions: record a change in designation or grade with its date.

Employee lifecycle

  • Transfers between branches or departments with a date.
  • Grievances and their types, and follow-up to resolution.
  • Training programs and events, their results and feedback.
  • Separation: the exit checklist (handing back assets, closing accounts, clearance). The end-of-service benefit is calculated in Payroll.
